Document Life and Destruction

Every other minute there seems to be more regulations on what records to keep and for how long. We help companies keep all that straight. And that helps them void costly litigation.

Commercial Moving Services reduce your risk of exposure to legal action. We ensure proper compliance with existing privacy laws. And we keep current on new or updated federal regulations.

The law mandates that you keep certain employee, financial, customer and other documents for a certain life. That document life might be three years or seven or another legally mandated time period. Destroying documents before their time can bring expensive fees and/or a court case. We’ll save you that worry.

Ethics Standards, Your Image And Identity Theft
We can help ensure you meet the guidelines of your corporate ethics programs. Keeping proper records also safeguards your public image. And document privacy is essential for protecting you, your customers and employees from identity theft.

When It’s Time, We Shred
Yes, it’s important to maintain documents. But it’s also important to destroy documents when you no longer need them. Amassing unnecessary records wastes space, causes confusion and wastes money. Commercial Moving Services will arrange for certified shredding, incineration, or a specifically prescribed method of destruction unique to your requirements.

Follow Sarbanes-Oxley, HIPPAA Destruction Rules
We will also have your out-of-date records shredded in compliance with the Sarbanes-Oxley, Gramm-Leach-Bliley or Health Insurance Portability & Accountability Act (HIPAA). Upon request, you’ll receive accountability receipts and certificates of destruction with each invoice.

You Must Provide Written Authorization
We will only destroy your material after you’ve presented authorization in writing. Records are too valuable to chance destroying without proof of your consent. You can provide authorization on a case by case basis. Or we can provide you with a written contract with broader rights of destruction.
